Description & Requirements

The Strategic Executive Assistant provides high-impact executive support to the QRO Operations Site Leader and QRO staff, acting as a trusted extension of the Site Leader in the management of priorities, agenda, information flow, and executive coordination.

This role goes beyond traditional administrative assistance and requires strong business judgment, autonomy, and discretion. It supports the effectiveness of the Site Leader by ensuring focus on critical business priorities, enabling timely decision-making, and facilitating execution across the site leadership team.

The position requires close, on-site interaction with operations and leadership and plays a key role in protecting the Site Leader’s time and attention in a complex manufacturing environment.

Responsible of QRO Site Leader travel arrangements including the administration of AMEX T&E being responsible of the expenses reporting of it. Also responsible of the coordination of the arrangements of services for the internal and external visits in the plant. Responsible of the standardization of the travel and visit processes in all the QRO Plants.

Key Responsibilities

Executive Support & Business Enablement

  • Act as a key support partner to the Site Leader, assisting with prioritization, follow-up, and coordination of critical business topics.
  • Proactively organize, filter, and structure information to support effective decision-making.
  • Anticipate conflicts, risks, and dependencies; resolve within scope or escalate with clear context and options.
  • Prepare executive summaries, reports, presentations, and meeting materials for leadership forums. Responsible for the consolidation of information for QRO Manufacturing Sites.

  • Travel arrangements, AMEX T&E expense reports submission on behalf of the executive.
  • Leader of the QRO Executive Assistants, if applicable
  • Responsible of the standardization of the administrative and executive assistance processes in the Queretaro
  • Special events coordination requested by the executive for the QRO sites
  • Coordination and meeting minutes keeping of the executive and site staff meetings

Agenda & Executive Effectiveness (Gatekeeper Role)

  • Manage the Site Leader’s agenda with a business-oriented prioritization mindset, acting as a gatekeeper to protect focus on high-impact topics.
  • Balance operational urgencies, strategic initiatives, and leadership commitments.
  • Actively manage scheduling conflicts, last-minute changes, and escalations with sound judgment.
  • Support the holistic alignment of the Site Leader’s agenda, including select personal commitments (such as medical appointments or personal travel logistics) only when these directly impact availability, focus, or business priorities, ensuring alignment between personal and professional commitments.
  • Handle such matters strictly as an enabler of executive effectiveness, with high discretion and professionalism.

Stakeholder & Communication Coordination

  • Serve as a primary point of contact with senior leaders, internal stakeholders, and external parties on behalf of the Site Leader.
  • Support effective communication flow, follow-ups, and action tracking across the Site Leadership Team.
  • Coordinate site leadership meetings, including agenda preparation, logistics, and meeting documentation as required.

Administrative Leadership & Process Standardization

  • Coordinate and support executive and administrative activities across QRO plants, contributing to standardization and efficiency of executive support processes.
  • Support continuous improvement of administrative workflows related to travel, visits, reporting, and leadership support.
  • Coordinate internal and external site visits with focus on organization, execution quality, and stakeholder experience.

Digital Tools & Productivity

  • Utilize Microsoft 365 tools (Outlook, Teams, OneNote, SharePoint, Excel) to manage information, communication, and reporting.
  • Leverage digital tools, including emerging AI-enabled solutions, to improve productivity, organization, and executive support effectiveness.

Confidentiality & Professional Conduct

  • Handle sensitive and confidential information with integrity, discretion, and professionalism.
  • Represent the Site Leader with appropriate executive presence and sound judgment.

What You Need to Be Successful

Experience & Profile

  • Experience providing executive or senior leadership support in a fast-paced, high-exposure environment.
  • Demonstrated ability to operate beyond transactional administrative tasks, supporting business priorities and leadership effectiveness.
  • Experience coordinating administrative activities and supporting process standardization.

  • Willingness to travel.
