About the Role

The FM&RE Portfolio and Project Specialist supports Harman’s global Facility & Real Estate organization by ensuring accurate data, strong reporting, and smooth execution of FM&RE processes. This role provides essential administrative, analytical, and coordination support to regional and global FM&RE leads as the company builds a unified, data-driven FM&RE Management Framework.

What You Will Do
Portfolio & Asset Management

  • Manage all Lease Agreements and connect documents of leased spaces, as well as all relevant documents of owned Real Estates. Further to the contract management manage real estate databases and be responsible together with the regional leads for keeping them up to date.
  • Maintain global FM&RE database and tools: lease records, layouts, occupancy data and tracker, utilities, contracts, and documentation.
  • Support reporting and dashboards for KPIs, costs, space utilization, and site performance.
  • Assist with site portfolio analysis, footprint strategy input, and consolidation planning.
  • Support the global FM&RE processes, policies, and standards (SLAs, guidelines, audits).
  • Prepare materials for leadership reviews and cross-functional collaboration.
  • Support global partners (e.g., JLL) with data collection and documentation tasks.

Project Leadership & Transaction Management

  • Manage cross-functional stakeholders and approval processes (Garner) for FM&RE Transactions.
  • Participate and support as Project Managers any Facilities or Real Estate projects, including new location analysis, site integration or sustainability activities.
  • Owner of all real estate and facilities related to tools and software as main Administrators.
  • Manage and Maintain FM&RE functional digital communication by creating RE relevant websites to Harman-Hub or other platforms internal as well as external.

Financial Controlling & Budget Oversight

  • Support, develop and control annual and regular real estate related budgets, forecasts and financial plans.
  • Implement controlling frameworks for rent and CapEx costs.
  • Coordinate functional sustainability data management to maintain Activity Tracking and developments.
  • Create bridge between local / regional FM&RE team members site leads or other functions, mainly HR (BP and Technology), Finance (lease admin and controlling), IT (network) or procurement. Create and maintain common language between systems (Workday, SAP, CMDB and real estate tools) to identify locations/sites in other systems.
  • Partner with Controlling and Finance teams to analyze and optimize real estate related costs and back strategic decisions.

What You Need to Be Successful

  • Bachelor’s degree in Business, Real Estate, Facility Management, or related field.
  • +2 years administrative or data-management experience; FM/RE exposure a plus.
  • Strong skills in Excel, reporting tools, and documentation.
  • Excellent organization, accuracy, and communication skills.
  • Ability to work with multiple stakeholders in a global environment.
  • Fluent English skills are necessary, other languages are plus.
  • Attention to detail and strong data discipline.
  • Ability to manage multiple priorities.
  • Proactive problem-solving mindset.
  • Collaborative working style across regions and functions.
  • Process oriented personality is desired for this position.
